Setting Up Your Emailworks Maillist Manager

Once installation of Emailworks Maillist Manager is completed on your server, it's time to login to Administrator Area and setup preferences based on your needs.
You can login to your Administrator Area by opening your web browser and entering the following URL:
http://yoursite.com/Emailworks/admin/
Emailworks Maillist Manager will request administrator login information from you. Please enter your administrator account username and password to continue. If human image verification system enabled (it's enabled by default), you will be asked to verify the image shown:
Once you are successfully logged into Administrator Area, you will see the main menu on the top:
Move your mouse over "Settings" menu. A sub-menu will be shown to you which contains different setting categories:
Account Information
This section allows you to update your administrator account information:
- First Name
- Last Name
- Username
- Password
Email Settings
This is the section where you setup how to handle email delivery, bounce tracking, SPAM complaint handling or load balancing.
You will see 6 tabs on the top:
- Email Addresses
- Bounce Settings
- Load Balancing
- Email Sending
- Spam Complaints
- Request By Email
Email Address
In this tab, you set the email addresses that will be used for notifying about system events:
- System Email From Name
- Enter the name that will be shown in "from" field of every outgoing email for users and administrator
- System Email From Email Address
- Enter the email address that will be shown in "from" field of every outgoing email for users and administrators
- System Email Reply To Name
- Enter the name that will be shown in "reply-to" field of every outgoing email for users and administrator
- System Email Reply To Email Address
- Enter the email address that will be shown in "reply-to" field of every outgoing email for users and administrators
- Send Alerts To
- Enter the email address where system notification emails should be sent to
Bounce Settings
This section allows you to setup bounce handling for your email campaigns. This is a very important procedure because it will keep your subscriber lists clean and up-to-date by monitoring delivery reports against invalid email addresses.
- Catch-All Email Address Domain
- Emailworks Maillist Manager uses proven VERP technique to identify bounces with the highest accuracy rate. Therefore, every outgoing email in Emailworks Maillist Manager is "signed" with a special return-path email address that are specific to every user, recipient, campaign and list. Enter the domain where you will be using for bounce handling in this field. Please note that catch-all email setting must enabled and pointed to an email address for this domain. An example domain is: yoursite.com
- Soft To Hard Bounce Threshold
- Enter the threshold level to mark soft bounced email addresses as hard bounced. Emailworks Maillist Manager will set bounce level to hard bounced after the defined amount of soft bounce detection for a specific email address.
- Process Type
- You can track bounced email addresses in two ways: Setting up an email piping or POP3 email box. Select the one you prefer. For more information about setting up your bounce handling, please refer to "Setting Up Email Processing For Bounce, SPAM Complaint and Subscriber Request Handling"
If you have chosen POP3 processing type in "Process Type" field, Emailworks Maillist Manager will ask for POP3 connection parameters:
- POP3 Server Host
- Enter the host of your POP3 server. Example: mail.yoursite.com
- POP3 Server Port
- Enter the port where your POP3 server is running. Default port number for POP3 server is 110
- POP3 Username
- Enter username of your POP3 email address
- POP3 Password
- Enter password of your POP3 email address

Load Balancing
If you are hosting Emailworks Maillist Manager on a limited server environment, you can enable Load Balancing feature to slow-down the email delivery.
Enable Load Balancing feature and enter the following information to set your load balancing feature:
- Emails To Send
- Enter the number of emails to send every period. Example: 500
- Seconds To Wait
- Enter the number of seconds to wait (sleep) between every period. Example: 60
Based on the example written above, your Emailworks Maillist Manager will send 500 emails every period and wait for 60 seconds between every period.
If you are not having email sending problems on your server, disable this feature to maximize your email sending speed.
Email Sending
This section defines the method to send your emails. You should set email sending settings based on your server configuration. You may contact your hosting provider to learn more about your mail server capabilities and limits.
Sending Methods:
- SMTP
- Local MTA
- PHP Mail Function
- PowerMTA
- Save To Disk
SMTP
If MTA that you are going to use for email delivery is hosted on a remote server, this method will be the right choice. Once you select SMTP method from the list, Emailworks Maillist Manager will ask for SMTP connection parameters. If you don't have a MTA for sending mass emails, you may consider using a third party reliable SMTP service such as SMTP.com service. Emailworks Maillist Manager has a built-in support for SMTP.com service.
- Host Address
- Enter the address of your SMTP server. It can be an IP address or a domain
- Port
- Enter the port for the connection. Default SMTP port is 25
- Security
- Select the security which your SMTP server uses. If your SMTP server accepts plain connection, just select the empty option
- Timeout
- Enter the time out in seconds to set how long Emailworks Maillist Manager should wait to receive a response from your SMTP server. 10 seconds will be okay for most settings.
- Authentication
- If your SMTP server requires username/password authentication, enable this option
If you enable SMTP authentication, Emailworks Maillist Manager will ask for your SMTP access username and password:
- Username
- Enter the username for logging into your SMTP server
- Password
- Enter the password for logging into your SMTP server
- X-Mailer Header
Enter the x-mailer header that you want to include in every outgoing email. It can be the domain of your website or a short note.
Local MTA
If you select this option, Emailworks Maillist Manager will use the MTA installed on your server. Enter the path of the MTA on your server. Some examples are;
/usr/sbin/sendmail
Please contact your hosting provider if you are not sure about the path of your MTA
- X-Mailer Header
Enter the x-mailer header that you want to include in every outgoing email. It can be the domain of your website or a short note.
PHP Mail Function
You can use the default MTA setting which is defined in your web server PHP settings. This option is usually the easiest one to configure.

PowerMTA
If you have PowerMTA (Port25.com) running on your server, you can let Emailworks Maillist Manager deliver emails to your PowerMTA server by using its "piping" method:
- PowerMTA Virtual MTA Name
- Enter the virtual-mta name you set in PowerMTA settings
- PowerMTA Directory
- Enter the path where rendered email files are going to be saved for piping
- X-Mailer Header
Enter the x-mailer header that you want to include in every outgoing email. It can be the domain of your website or a short note.
Save To Disk
If you have a customized mail server solution accepting emails directly into queue directory, you may use this option to render and deliver emails to your MTA:
- Directory to be saved
- Enter the directory where emails should be saved as separate files
- X-Mailer Header
Enter the x-mailer header that you want to include in every outgoing email. It can be the domain of your website or a short note.
This method can be used to test the email rendering speed of Emailworks Maillist Manager on your server. Just create a writable directory on your web server and select this option. Then create and send a campaign to see the actual speed of Emailworks Maillist Manager on rendering emails and making them ready to deliver on your mail server. In this way, you can see where bottleneck exists on slow email delivery conditions.
Spam Complaints
Emailworks Maillist Manager allows you to track and process SPAM complaints which occur when one of your recipient clicks "Report as SPAM" button in their email service (Ex: Yahoo.com, Hotmail.com).
In order to make this feature functional, you need to get enrolled in email service Feedback Loop Programs (or Junk Mail Reporting Programs). This is a complicated but a must-have procedure for anyone who is planning to run professional email marketing campaigns.
You can enroll in FBL programs of major email service providers by following these links:
Emailworks Maillist Manager is powered with a unique FBL processing algorithm and it can identify any kind of FBL reports which are in ATF method.
In order to setup Spam Complaint processing, follow these steps:
- Set an email address for accepting FBL report emails. (Ex: fbl@yoursite.com)
- Setup email processing for this email address. Follow the following guide: Setting Up Email Processing For Bounce, SPAM Complaint and Subscriber Request Handling
- Setup the Spam Complaint parameters as described below:
- Report Abuse To
- This is the email address where abuse reports will be sent. It should be a working email address which is being monitored by a human
- Send Complaints To
- Similar to "Report Abuse To", it needs to be monitoerd by a human. It can be the same email address as "Report Abuse To"
- Feedback Loop Email Address
- This is the email address which is submitted to FBL/JMRP programs of email service providers and being monitored by Emailworks Maillist Manager's spam complaint processing module (/cli/fbl.php or /cli/pop3_fbl.php)
- Process Type
- Select how Emailworks Maillist Manager should monitor the feedback loop email address. Select the option you set on your server. It can be piping or pop3 connection method.
Request By Email
This is a useful and nice-to-play feature for your subscribers. If you enable this feature, you will be able to accept subscriptions/unsubscriptions by email.
A real world example: Let's say you have a website membership list in Emailworks Maillist Manager and want your website visitors to subscribe by email. You just enable this functionality and define "commands" in your list settings. Once this is done, your website visitors can subscribe to your website mail list by sending a simple email with a subject you defined (Ex: subscribe)
Preferences
This section helps you to set general settings of Emailworks Maillist Manager. They are categorized under 4 categories:
- General Settings
- Media Library
- File Uploads
- PreviewMyEmail.com Integration
General Settings
- Default Language
- Select the language you wish to use as the default language in Emailworks Maillist Manager (sections that are not rendered with user information)
- Send Engine Link
- If you enable this option, Emailworks Maillist Manager will display "Send pending campaigns" link in Campaign Browse screen. This will allow users to trigger the send engine manually on their web browser. Heavy sending processes might be terminated by the web browser. We recommend setting up the send engine in your crons.
- Administrator Area Login Captcha
- Enable this option to ask for image verification in administrator login screen
- User Area Login Captcha
- Enable this option to ask for image verification in user login screen
- Google Analytics Source Keyword
- Emailworks Maillist Manager is completely integrated with Google Analytics to let you track your recipient activity on your website when they click a link inside your email. This source keyword will be displayed in your Google Analytics account. Ex: Emailworks Maillist Manager
- Google Analytics Medium Keyword
- This is the medium keyword which will be used in your Google Analytics account to classify the campaign. Ex: Email
Media Library
In this section, you define the location where you wish to store file attachments, images, etc.
- Upload to server
- Emailworks Maillist Manager will store attachments and media library items (images, etc.) in Emailworks Maillist Manager's /data/ directory
- Upload to database
- Emailworks Maillist Manager will store attachments and media library items in Emailworks Maillist Manager's MySQL database
- Upload to Amazon S3 Account
- If you have an Amazon S3 Account, you can set Emailworks Maillist Manager to use your S3 area to store images to avoid bandwidth issues on your web server.
Setting Up Amazon S3 Account
If you don't have an Amazon S3 Account, go to aws.amazon.com to sign-up for an account
Once you sign-up to Amazon S3 service, you will be given Amazon S3 Access ID and Secret Key. Enter this information in Emailworks Maillist Manager's preferences section. Enter the bucket you have created in your Amazon S3 account (Ex: media.yoursite.com) and path of the directory you wish to store images (Ex: /media_library). As the last field, enter the URL of your Amazon S3 account. If you have forwarded a domain/sub-domain to your Amazon S3 account, just write the domain (Ex: http://media.yoursite.com) or original S3 URL.
File Uploads
This is the place where you set upload limits. There are three different limits for uploads. All file upload sizes must be entered in Byte unit.
- Import File Maximum Size
- This is the upload limit for subscriber import CSV/XML files
- Attachment File Maximum Size
- This is the upload limit for attachments that can be uploaded while creating email campaigns, auto responders, etc.
- Media Library Maximum Upload Size
- This is the upload limit for images which are uploaded to be inserted into emails
Please do not forget that the file upload limit in your server PHP.INI will have an active role on controlling user uploads.

There are two ways to provide this feature in Emailworks Maillist Manager:
- Setting up a system-wide integration
- If you set a system-wide integration, all users will be able to use this functionality through your PreviewMyEmail.com account
- Allowing user accounts to set this integration separately
- Each Emailworks Maillist Manager user will have ability to sign-up different PreviewMyEmail.com accounts and use it in their accounts separately.
Emailworks Maillist Manager ESP Edition users can set pricing for this service and charge users based on their use amounts.
In order to setup the integration, fill in the requested information:
- PreviewMyEmail.com Account URL
- Enter your PreviewMyEmail.com account URL. It's a sub-domain such as http://youraccount.previewmyemail.com
- PreviewMyEmail.com Account API Key
- This is the API key generated by PreviewMyEmail.com once you activate your API service in your account
Re-branding
Emailworks Maillist Manager makes re-branding the user interface easier for you. You can easily change the user interface logo, product name and result URLs for specific actions by setting them under Admin Area > Settings > Re-Branding section.
- Product Logo
- Upload your own logo. The uploaded logo will be displayed on the top left of the user interface. If you use a 60x17 pixels sized logo, it will be better rendered and scaled.
- Product Name
- Enter the product name you wish to re-brand under
- Forward To Friend Page Header URL
- This is the header template for the forward-to-friend page
- Forward To Friend Page Footer URL
- This is the footer template for the forward-to-friend page
- Report Abuse Page Header URL
- This is the header template for report abuse page
- Report Abuse Page Footer URL
- This is the footer template for report abuse page
- User Sign-Up Page Header URL
- This is the header template for user sign-up page
- User Sign-Up Page Footer URL
- This is the footer template for user sign-up page
- Subscriber Area Logout URL
- This is the target URL which will be used when a subscriber logs out from his subscriber area
Plug-In Manager
You can extend functionality of Emailworks Maillist Manager much more based on your needs by installing plug-ins. RSS content fetching, translation utility and much more can be added by installing plug-ins.
Plug-ins that you have downloaded from Emailworks Add-Ons area must be uploaded to [Emailworks Maillist Manager_directory]/plugins directory. Once they are uploaded, Plug-In Manager will list plug-ins and enable/disable buttons.
Each plug-in can be enabled or disabled separately.
That's all. You completed setting up your Emailworks Maillist Manager. Now, it's time to proceed and setup user accounts.
